Facility Use Policy
General Policy
The general policies are:
- conduct: All parishioners using parish facilities are expected to and shall conduct themselves in a Christian manner.
- approved uses: Parish facilities may be used for religious, educational, civic, recreational, and/or entertainment purposes when sponsored by a responsible adult member of the parish. The parish has the right to deny the use of any parish facility and reserves the right to cancel any event, even after approval.
- beverages/alcohol: All beverages must be served in non-breakable containers provided by the renter. Serving of alcoholic beverages is strictly prohibited unless permission is sought. When permission is given to serve alcoholic beverages, it is the sole responsibility of the organization to assure that ANYONE consuming alcohol is 21 years of age or older. Any organization serving alcoholic beverages must do so in compliance with all state and local laws including but not limited to those regarding permits and licenses. Moreover, the consequences of serving alcoholic beverages are the responsibility of the organization.
- smoking prohibited: Smoking is prohibited in any parish facility.
- Children must be supervised at all times.
- Any questions regarding the enforcement of this policy and its interpretation shall be addressed to the pastor.
Scheduling
- The scheduling of:
- Madonna Hall will be done by the parish secretary.
- The school cafeteria will be done by the school secretary.
- The scheduling of the school gymnasium will be done by the Parish Life Center manager.
- Available Rental Times are:
- Sunday 1:00pm — 10:00pm
- Monday through Thursday until 10:00pm
- Friday and Saturday until 12:00 midnight
- No sub-leasing is permitted.
Liability
- not responsible for damage or loss: Our Lady of the Greenwood Parish, the Archdiocese of Indianapolis, and any of their employees, representatives or agents shall not be held responsible for damage to or loss of any private property sustained by the organization, any participant, guest, spectator, or any other person at the event on the parish premises.
- damage is the responsibility of user: The facilities and equipment (including but not limited to tables, chairs, and kitchen equipment) will be carefully examined after use and renter agrees to promptly pay for any loss or damage occurring during renter's use of parish property.
- compliance with terms of policy: The renter agrees on the part of all persons participating in or pertaining to the scheduled activity, to be responsible for compliance with all the terms and conditions of this policy for the use of parish facilities.
- indemnification: The renter shall and hereby agrees to indemnify, defend, and hold harmless OLG parish and the Archdiocese of Indianapolis, its employees, representatives or agents, from any and all claims, actions, demands, costs, and fees of whatever nature for injuries to persons or damage to property resulting from the use of parish facilities.
- liability insurance: The renter agrees to show evidence of liability insurance, with a minimum limit of $300,000 prior to the date of the scheduled event, if evidence of liability insurance is requested by the Pastor or his delegate.
Decorations/Setup/Cleanup Responsibilities
- Up to two hours kitchen setup and decorating time will be provided, when possible, prior to the scheduled event. Arrangements for access to decorate or for deliveries must be made in advance with the staff.
- decorations: Renters supply all decorations, and table cloths, and non-breakable table service items needed for the event. No decorations are to be nailed, screwed, tacked, glued or stapled to any wall. Masking tape may be used. No decorations may be attached to the ceiling. All candles must be enclosed in glass.
- set up: Included in the use of the facility are the tables and chairs. After the event the tables and chairs are to be stored or left set up as agreed to by the OLG representative. The renter is responsible for insuring in advance that a key has been obtained for access to the facility. Arrangements for return of the key must be made also.
- clean up: The renter acknowledges full responsibility for the cleaning of the facility. All decorations must be removed and disposed of by the organization at the completion of the event. Trash is to be picked up from the floor of the facility and if necessary the exterior of the building. Bag all trash in plastic bags provided by OLG and place bags in the dumpsters. The renter's property is not be to left on the premises after the event.
Kitchen Guidelines
- parish life center: Only a Parish approved caterer is allowed to serve food.
- madonna hall:
- No food to be left in kitchen, refrigerator, or freezer.
- Kitchen utensils will be washed and stored in their proper area.
- Counters, stove, sinks, and refrigerator will be clean.
- Brooms are available in the utility room.
- Check to be sure all lights and kitchen equipment; especially the stoves, are off.

You will need to contact the Parish Office secretary for the application form and scheduling for your event.
NOTE: Since our parish calendar listed on our website displays ONLY public events and NOT private events does not mean a facility is available for use. You will need to check with the Parish Secretary to find out if a facility is available since we do not list private events on the OLG website calendar.
